The role includes overseeing a small team, handling accounts payable and receivable, managing AIA billing and Textura submissions, coordinating compliance through B2GNow, preparing monthly WIP reports and financial statements, and supporting payroll and union reporting. The ideal candidate holds a bachelor’s degree in Accounting or Finance (CPA preferred), has at least three years of supervisory experience, and possesses strong knowledge of construction accounting, job costing, and compliance processes. The Field Administrative Assistant plays a key role in supporting the daily operations of our field teams. Reporting directly to the Director of Operations, this position is responsible for a variety of administrative tasks that ensure smooth and efficient workflow across departments. Responsibilities include facilitating employee onboarding through Paylocity, collecting and maintaining daily payroll reports and spreadsheets, and performing field escorting duties, which require proper badging. The assistant is also tasked with updating digger numbers for various job sites and collaborating with the Accounts Payable team to manage material tickets and field purchase orders. Regular follow-up with Project Managers regarding the status of field tickets and POs is essential. Additionally, the role involves creating and maintaining organized filing systems for job and maintenance documentation, scheduling meetings for Project Managers and Foremen as needed, and supporting special projects as assigned.
